Summary

The US Strategy & Growth team is seeking an Executive Administrative Assistant to support the Strategy team in projects and operational tasks. This individual will ensure full transparency of ongoing projects progress and budget overview, and manages the logistics for the Oncology TA leadership team.

About the Role

Major accountabilities:

  • Team Support, delivers support to the Strategy department by managing workstreams, providing project execution and planning support, following up on action items as well as assists the team in advanced operational tasks, e.g. project coordination, organization of key multi-stakeholder meetings.
  • Organize calendars for multi-stakeholder meetings (Oncology TAL), ensure all stakeholders if modifications are needed to planned meetings.
  • Support the Strategy Team as required, preparing and submitting expense reports and monitoring approval flows relating to travel and other expenses of the supervisor and others as appropriate. Planning and coordination onsite and offsite events and meetings
  • -Handle/synchronize all relevant administrative tasks for new/departing team members -Point of contact for consultants working on projects for the team (provide team room, site access, IT and printing support) -

Key performance indicators:

  • Tasks are delivered in high quality and timely -Feedback from internal and external stakeholders regarding organization and preparation -Customer Satisfaction (Head of Strategy, Strategy Team, internal and external stakeholders)

Minimum Requirements:

  • Minimum of 6+ years support high level executives in an administrative and operational capacity.
  • Project Management experience required.
  • Operations Management and Execution experience required.

Novartis Compensation and Benefit Summary: The pay range for this position at commencement of employment is expected to be between $66,000.00 - $99,000.00 USD per year; however, while salary ranges are effective from 1/1/24 through 12/31/24, fluctuations in the job market may necessitate adjustments to pay ranges during this period.  Further, final pay determinations will depend on various factors, including, but not limited to geographical location, experience level, knowledge, skills, and abilities. The total compensation package for this position may also include other elements, including a sign-on bonus, restricted stock units, and discretionary awards in addition to a full range of medical, financial, and/or other benefits (including 401(k) eligibility and various paid time off benefits, such as vacation, sick time, and parental leave), dependent on the position offered. Details of participation in these benefit plans will be provided if an employee receives an offer of employment. If hired, employee will be in an “at-will position” and the Company reserves the right to modify base salary (as well as any other discretionary payment or compensation program) at any time, including for reasons related to individual performance, Company or individual department/team performance, and market factors.
