Summary

To support the Solution and Service Design Team (and wider Business Excellence & Execution Team where appropriate) in managing all relevant business processes, namely those relating to the internal approval systems, budget management; customer/contract management; project management and SOP/compliance management

About the Role

Location: 
London Office with Hybrid working (12 days per month in the office). This role is based in London, UK. Novartis is unable to offer relocation or visa support for this role: please only apply if this location is accessible for you and you have the right to work in the UK. 
 

Key responsibilities: 

Budget Management 

  • Raising purchase orders (POs), managing Shopping Carts, carrying out goods receipting and financial reconciliations, moving finances and tracking spend 
  • Vendor management in relation to quotes, POs, payments and cost efficiency 
  • Managing the project budgets for the team 

Customer/contract management 

  • Support with the preparation of contracts, working with Procurement and Legal as needed. 
  • Contract management support wrt interactions with healthcare professionals, agencies and other third parties, including putting in place confidentiality agreements 
  • Manage processes relating to disclosure of payments to HCPs etc 

Project Management/Logistics Support 

  • Arrange logistics for internal team meetings 
  • Act as onboarding champion 
  • Collaborate across teams to ensure deliverables and timelines are met i.e. printed materials for meetings 
  • Support material updates for the field team 
  • Ensure all activities meet compliance and legal requirements 

 

Internal approval systems 

  • Manage documents through the process and ensure compliance with relevant SOP process steps; liaising with agencies; managing withdrawals of materials; arranging re-certification and archiving of materials as needed.  
  • Act as an internal compliance system trainer/buddy for new joiners

Role Requirements : 

  • Administrative and Project management experience from within a Pharmaceutical company is essential
  • Evidence of ability to manage multiple competing projects and priorities to deliver on time
  • Experience of working with budgets - strong financial acumen with attention to detail 
  • Good working knowledge of Microsoft office packages and experience using compliance/finance systems
  • Strong communication skills in writing and verbally
  • Proven ability to work cross functionally to achieve successful outcome
  • Ideally degree level education in a science subject
